How to Prevent Contract Renewal Deadlines from Being Missed

Missed renewals are usually missed notice windows, not forgotten invoice dates. The signed order form subtracts 30–90 days from term end; if nobody owns that date, auto-renewal wins.
This post is the short version of How to track vendor contract renewals. We do not publish a guaranteed “9% of revenue” or similar ROI figure — if a vendor auto-renews, use the actual invoice.
What goes wrong
- Notice is not the invoice date.
- The signer left; the spreadsheet row has no owner.
- Legal “sent something” with no method, date, or hash on file.
- ChatGPT can read one PDF; it cannot run the loop (why not ChatGPT).
The operating loop
- Intake the signed PDF (DocuSign, Drive, or upload).
- Store expiration, notice days, and method.
- Assign a legal ops or procurement owner.
- Work the 90-day queue: renew, negotiate, or terminate.
- If terminating, draft and send opt-out the way the contract requires; record proof.
